I tweaked a basic follow-up email for my running group and it worked wonders
At my IT job, I have a standard email for checking in with people after we fix their issue. I thought, why not use something similar for my running club? When I needed to confirm who was coming to a weekend jog, I copied the format but made it friendlier. I start with a quick hello, mention the time and place, then ask for a reply if they can make it. It's so much faster than typing new emails each time. Now I use it for any casual group where I need a head count. It keeps things organized without feeling like work.

How detailed is your template? I use one for my book club. Cuts down on back and forth.

My template started out simple but sort of grew into a monster, like a middle school book report you’re way too proud of. It has questions, suggested snacks, even a petty drama scorecard from our last meeting. People either love its thoroughness or get scared off by the sheer number of bullet points. I might have a problem and need to cut a few sections back.

Tried making one once but it turned into a phone book. It now lives on my fridge as a fancy paperweight.

What's the drama scorecard look like, a one to ten scale for side-eye? I keep my own club emails so short people probably think my keyboard is broken. If a template needs its own table of contents, you've gone too far.
